Concrete Olive respects your privacy and is committed to handling personal information carefully, transparently and responsibly.

This Privacy Policy explains the kinds of information Concrete Olive may collect, how that information may be used, stored and disclosed, and how you can request access or correction, or raise a privacy concern.

It applies when you:

  • visit or use the Concrete Olive website;

  • submit a contact form or communicate with Concrete Olive;

  • book, purchase or participate in a Concrete Olive service;

  • attend an online appointment, group session or other offering; or

Concrete Olive is based in Melbourne, Victoria, Australia. This policy is intended to reflect applicable Australian privacy requirements and good privacy practice.

2. Information Concrete Olive may collect

The information collected will depend on how you interact with Concrete Olive and may include:

  • your creative profession or area of work;

  • booking details, appointment preferences and service history;

  • information you provide in response to booking or registration questions;

  • enquiries, correspondence and other communications;

  • payment and transaction information, although payment card details are processed through the relevant payment provider;

  • information you choose to share during an individual or group service;

  • feedback or testimonials that you voluntarily provide;

  • information needed to respond to a concern, cancellation, refund or service enquiry; and

  • technical information that may be collected when you use the website, such as device, browser, IP address, cookie and website-use information.

Because Concrete Olive conversations may consider personal circumstances affecting professional creative work, information you voluntarily share may sometimes include sensitive information. You are not expected to provide more personal information than you consider necessary for the service or enquiry.

3. How information is collected

Concrete Olive may collect personal information:

  • directly from you when you submit a contact form, make a booking, complete booking questions, communicate by email or phone, make a payment, or participate in a service;

  • when you voluntarily provide information during an appointment, group session, workshop or other offering;

  • through the Concrete Olive website, including information collected through cookies, website analytics and similar technologies;

  • through service providers used to operate the practice, including Squarespace and Acuity Scheduling, Square, Gmail, Zoom and Google Meet;

  • when another person or organisation contacts Concrete Olive on your behalf, where it is reasonable and appropriate to receive that information; or

  • when you provide feedback, a testimonial or other material for possible use by Concrete Olive.

Where practical, Concrete Olive will collect personal information directly from you.

4. How information may be used

Concrete Olive may use personal information to:

  • respond to questions and enquiries;

  • understand the nature of your enquiry and whether a Concrete Olive service may be suitable;

  • manage bookings, registrations, payments, refunds, cancellations and appointment reminders;

  • prepare for and provide appointments, group sessions, workshops and other services;

  • respond to concerns, complaints, privacy enquiries or safety matters;

  • operate, maintain and improve the website and services;

Concrete Olive will not sell or rent your personal information.

Personal information will generally be used for the purpose for which it was collected, for a related purpose you would reasonably expect, with your consent, or where its use is otherwise required or authorised by law.

Concrete Olive may disclose personal information where reasonably necessary to operate the practice or provide a service, including to:

  • Squarespace and Acuity Scheduling for website, contact form, booking and appointment administration;

  • Square for payment processing, refunds and transaction records;

  • Google services, including Gmail and Google Meet, for email communication and online appointments;

  • Zoom for online appointments, group sessions or other online offerings;

  • professional advisers or service providers, such as accountants, insurers, legal advisers or technology support providers, where access is reasonably necessary for their work;

  • an organisation arranging or funding a service, but only to the extent agreed with you or reasonably required to administer that arrangement;

  • another person where you have asked or authorised Concrete Olive to communicate with them; or

  • government authorities, regulators, courts or other parties where disclosure is required or authorised by law or reasonably necessary to respond to a serious safety concern.

Service providers may process personal information under their own privacy policies and terms. Concrete Olive will seek to share only the information reasonably necessary for the relevant purpose.

Concrete Olive does not sell or rent personal information and will not disclose information for another organisation’s independent marketing purposes without your consent.

6. Overseas storage and processing

Some of the technology providers used by Concrete Olive operate internationally. As a result, personal information may be stored, processed or accessed outside Australia, including in the United States and other countries in which those providers or their service providers operate.

Privacy laws and protections in another country may differ from those in Australia. Concrete Olive will take reasonable steps when selecting and using service providers and will handle information in accordance with this Privacy Policy and any legal obligations that apply.

7. Storage, security and retention

Concrete Olive takes reasonable steps to protect personal information from loss, misuse, interference, unauthorised access, modification and disclosure.

Information may be stored through the technology providers described in this policy, as well as in password-protected email accounts, devices and administrative records used to operate the practice.

Concrete Olive seeks to limit access to personal information to Michelle and any service provider or professional adviser who reasonably requires access for an authorised purpose.

No method of electronic transmission or storage can be guaranteed to be completely secure. If Concrete Olive becomes aware of a privacy or security incident, it will take reasonable steps to contain and assess the incident and respond in accordance with any legal obligations that apply.

Personal information will be retained only for as long as it is reasonably needed to:

  • provide and administer services;

  • maintain appropriate business, financial, insurance or legal records;

  • respond to questions, concerns or disputes; or

  • meet an obligation required by law.

When personal information is no longer reasonably required, Concrete Olive will take reasonable steps to securely delete, destroy or de-identify it, subject to any legal or administrative requirement to retain it.

You may contact Concrete Olive to request access to personal information held about you or to ask for information that is inaccurate, incomplete, out of date or misleading to be corrected.

Concrete Olive may need to confirm your identity before responding to a request.

Access will generally be provided within a reasonable period and in a practical form. In some circumstances, access may be limited or refused where permitted or required by law. If this occurs, Concrete Olive will explain the reason where it is lawful and appropriate to do so.

There is no fee for making a request. If responding would involve an unusual or substantial administrative cost, Concrete Olive will discuss this with you before proceeding.

The Concrete Olive website may use cookies and similar technologies provided through Squarespace or other website services.

Concrete Olive does not seek to use website analytics to identify information shared during appointments or other services.

You may be able to manage or disable cookies through your browser settings or any cookie controls provided on the website. Disabling some cookies may affect how parts of the website function.

10. Updates and promotional communications

Concrete Olive may send service-related communications that are reasonably necessary to manage an enquiry, booking, payment or appointment. These may include confirmations, reminders, changes to a service and follow-up administrative information.

Promotional updates, newsletters or information about future offerings will only be sent where you have chosen to receive them or where otherwise permitted by law.

Booking a service or making an enquiry does not automatically subscribe you to promotional communications.

Each promotional email will provide a simple way to unsubscribe. You may also contact Concrete Olive at any time to ask not to receive further promotional communications.

Information shared during an appointment or other service, including sensitive information, will not be used to personalise promotional or marketing communications.

Concrete Olive will acknowledge the matter, consider the circumstances and aim to respond within a reasonable period. Further information or confirmation of identity may be requested where reasonably necessary to investigate or respond.

There is no fee for raising a privacy concern.

Concrete Olive welcomes the opportunity to address privacy concerns directly and fairly. If a concern cannot be resolved, you may be able to seek further information or make a complaint to the Office of the Australian Information Commissioner or another relevant authority, depending on the circumstances and the laws that apply.

12. Changes to this policy

Concrete Olive may update this Privacy Policy from time to time to reflect changes to its services, technology providers, information-handling practices or legal obligations.

The current version will be published on the Concrete Olive website and will show the date it was last updated.
